Creators' Alley Information, Terms & Conditions
Dates: December 27-28, 2025
Time: 11:00 AM – 7:30 PM
Venue: Raffles City Convention Centre, Fairmont Ballroom & Foyer
Admission: This is a ticketed event (pricing TBA; 2024 prices start from $18.90 with Creators’ Alley access included)

- The Creators’ Alley spans across the Fairmont Ballroom & Foyer. Exhibitors have access to the loading deck and cargo lifts (Advance notice required).
- Open spaces, lifts and public toilets are accessible to general public.
- The convention centre sits atop the Raffles City Shopping Centre with a wide variety of F&B options.

Early Bird Rates
Exhibitor Pass Benefits
- Early Access for booth set-up: 8:00 AM (Saturday) / 9:00 AM (Sunday).
- Loading deck and cargo lift access.
Please inform at least 2 weeks in advance, and provide the vehicle number if available.
- Free flow coffee & tea throughout the event.
- 2 exhibitor passes are issued per table, covering event admission.
- Additional Helper Passes are available for purchase at a later date, which provide early access to assist with booth set-up and cover event admission.
Payment
Further from the stage: Early payment secures a position further from the stage. Booth placements are determined by the order of payment received within each designated booth type (i.e. wall/standard/corner), beginning with the location nearest to the entrance permitted for that category. You may request placement closer to the stage.
Wall + Queue Space Add-on: Booths with this add-on will be prioritised in the ballroom foyer.
Adjacent Booths: For booths wishing to be placed together, you may fill up a placement form that is provided later. The entire group’s placement will be based on the last booth to submit their payment.
Corner Booths: Prioritised for multi-table booths and exhibitors with mobility aids, but the limited availability means that you may end up closer to the stage. In such situations, we will prioritize your payment order to place you further from the stage, unless you specifically request a corner booth.
Accessibility: While standard booths are not designed for bulky mobility aids, we will do our best to accommodate accessibility requests. Please inform us of mobility aid needs.
You may inform us if you require a booth closer to the stage, or if you have accessibility needs/use mobility aids, after you receive your approval email.
Important reminder: This is a music festival with sound levels that go up to 90dB. Regardless of your booth location, it is impossible to guarantee a quiet environment. Consider bringing ear plugs and writing materials for comfort and communication.
The Creators’ Alley is dedicated to showcasing your own creations and connecting with fans. Reselling or others’ work is not permitted. A small selection of preloved items is acceptable as long as they are not the primary focus of your booth.
Prohibited Items & Activities:
Items prohibited under Singaporean law (e.g., weapons, chemicals, seditious materials, stolen goods).
- Adult (18+) materials.
- Plagiarized content.
- Counterfeit goods.
- Deceptive practices (e.g., misrepresenting AI-generated or traced art as original).
- Games with gambling elements (e.g., gacha, mystery boxes) must comply with the Gambling Control Act.
- Risqué or overly revealing displays. Please be mindful that children will be attending the event.
We reserve the right to request removal of inappropriate items. Violation of these guidelines may result in expulsion from the event without refund, blacklisting from future events, and/or a police report being filed.
Policy on AI-Generated Works
AI art is a relatively new and emerging field, and the guidelines and laws surrounding it are still unclear. While we understand that AI can be a valuable assistive tool for artists, the sale of artworks that are generated by AI with little or no human intervention is currently not widely accepted by the creative community. Thus, we are unable to permit the sale of such artworks. We will continue to observe developments in this area and may update our policy in accordance with changing times and laws.
Policy on sale of non-original 3d printed design models
Selling modified, painted, or incorporated 3D printed models is permitted only if you have the appropriate license and can provide proof upon request. Selling unlicensed 3D prints is strictly prohibited.
Policy on Investigation of Plagiarism, AI-Generated Works and other Prohibited Content
While we cannot preemptively screen all content, we take reports of prohibited content seriously and investigate them based on provided evidence. This includes products sold at the event and graphics used in Creators’ Alley promotional materials. Reports should include specific details and supporting evidence (e.g., links to original work, image overlays). Those accused of violations may be asked to provide additional information (e.g., work-in-progress files). If investigations cannot be conducted or concluded before the event, they continue after the event, and confirmed violations may result in blacklisting from future events.
Contract and Receipt Issuance
- The payment acknowledgement email will be sent and it confirms the contract between the event and the applicants based on the terms and conditions listed here.
- If needed for accounting purposes, a PDF receipt is available upon request after the completion of payment.
Changing booth categories or adding additional tables after payment confirmation
- Upgrading to a higher-value booth is possible, subject to availability. Please contact us for assistance.
- Applicants cannot downgrade from a booth of a higher value to a booth of a lower value. However, it is possible to transfer your booth to another creator. Please contact us for assistance.
Cancellation, Transfer and Refund Policy
Once your registration is confirmed, cancellations or refunds are generally not permitted.
Cancellations and Refunds for add-ons are not possible.
In exceptional cases, we may make partial refunds for booths if the exhibitor is unable to be present, depending on the amount of lead time running up to the event.
To prevent any losses, you are encouraged to transfer your booth to another eligible individual. Please provide us with the new exhibitor’s information, and we will send you the booth transfer form once the transfer is approved.
In the event of unforeseen circumstances necessitating the postponement of the festival, such as national directives related to the COVID-19 situation or other public health emergencies, your booth registration will be automatically transferred to the rescheduled date. This aligns with the protocol established by our event venue concerning rentals, and we appreciate your understanding in this matter.
Transferring or Loaning Exhibitor Passes
Transferring your exhibitor pass to another individual or creator without prior written permission from EOY J-Culture Festival is strictly prohibited.
Loaning your exhibitor pass to anyone for the purpose of granting them entry to the event is strictly prohibited.
Any unauthorised transfer or loan of an exhibitor pass will result in the immediate revocation of access rights for both the pass holder and the recipient. No refunds will be issued in such cases.
Involvement in unauthorised transfer or loaning will lead to blacklisting from future EOY J-Culture Festival events.
Renting or subletting of booth
You may not rent out or sublet your booth for profit. Any violation of this policy will result in the withdrawal of exhibitor rights without refund, and may lead to being banned from future events.
If you are an exhibitor flying in from outside Singapore to attend EOY, you are required to file an e-Notification with the Ministry of Manpower after arriving in Singapore. This process is for the Ministry’s information purposes only and does not require approval.

Booth Set-Up and Safety
- The front of your booth setup must be safe and stable, and must not be excessively higher than the 140cm height limit (measured from the ground). All displays and products must be securely attached to the table. If your setup is in danger of toppling or falling, we reserve the right to request adjustments to ensure it remains below 140cm.
- Standard booths may not have a display frame or backing behind them, which is only permitted for booths with walls.
- Items placed against the wall must not exceed 200cm in height from the ground.
- All items must be secured for safety. Any falling or collapse of products or set-up resulting in injury to event-goers will be the exhibitor’s liability.
- Only the provided tables and chairs should be used for setup. You may bring additional chairs and furniture, but they must remain within your designated booth space.
- We reserve the right to request the removal of items and parts that do not adhere to our safety and set-up regulations.
- Sticking items on venue fixtures, including walls, floors, and pillars, is not permitted. Violators will be responsible for any charges related to damages or adhesive removal. This prohibition also applies to the provided tables and chairs.
Booth Activities
With the exception of booths with the Wall and Queue/Interaction space add-on, you must ensure that the walkway in front of your booth is kept clear at all times. You may not have sustained queues stretching beyond your booth lasting more than 5 minutes. Exceeding this time limit will result in additional floor space charges.
Be considerate of neighbouring booths. You will be asked to stop your activities if they become disruptive.
Maintenance and cleanliness
Do not bring strongly scented food into the event.
You are responsible for maintaining the cleanliness of your booth area. A cleaning fee of $50 will be charged in the event of any spills.
Booth tear down
You don’t need to pack up your booth at the end of the first day, but you must start packing up your booth by 7:45 PM on the second day (the event ends at 7:30 PM).
Overnight storage of property, loss and damage policy
Due to the large crowds anticipated throughout the event, take extra precautions for your merchandise and belongings. While our event staff strives to ensure a safe overall environment, they cannot monitor individual booths. We highly recommend not leaving your booth unattended during the event.
You may store your merchandise overnight at your booth. However, please take all valuables with you, and conceal your merchandise with a tablecloth and/or keep it under the table skirting.
We are not liable and unable to compensate for any missing, misplaced or damaged items. If you experience any loss, damage, or suspicious activity, we can assist you in contacting venue security to file a report. However, you would need to file a police report yourself.
We reserve the right to modify or amend these terms and conditions as necessary to improve clarity, comply with legal obligations, maintain the integrity of our services, or address unforeseen circumstances.
